Editing paychecks without changing the net pay

You can edit old paychecks to change only company-paid amounts. Any change to the paycheck may cause the whole check to recalculate. If the employee's tax information has changed, (for example: the number of exemptions were changed) or if you have installed a new Tax Table since the check was created, then the recalculation can change the taxes withheld. If the paycheck recalculates, then the Net amount of the paycheck can change. For this reason, old paychecks should be changed by using the steps below:

  1. Back up your QuickPayroll data file.
  2. Print the paystub of the check to be edited (or the paycheck itself, in version 3.1). Use the printed information as a reference for the original check.
  3. At the paycheck, click the Paycheck Detail button.
  4. Click into the amount column of the company paid payroll item and make the correction.
  5. Click OK on the Review Paycheck window, and then OK on the Paycheck window to record the changes.
  6. Compare the Net Pay amount of the paycheck with the one that was printed in Step 2.
  7. If the amounts are different, find the payroll items in the Review Paycheck window that are different from the paystub, and change them back to the original amounts.
  8. If the Net Pay is the same as the original check, click OK to record.
