Q: How do I edit or delete a paycheck?

A: If a paycheck contains wrong information, or is a duplicate, you can edit or delete the paycheck provided that you haven't issued the paycheck to the employee. Never edit or delete a paycheck you have already issued. Once a transaction has been deleted, it cannot be undeleted.

If you know which employee the paycheck was created for:

  1. As a precaution, back up your company file.
  2. From the Lists menu, choose Employees. Select the employee's name, click the Reports menu button, and choose QuickReport.
  3. Select All in the Dates drop-down list, or if you know the approximate creation date of the check, enter a date range in the From and To fields.

  4. This report displays all payroll transactions for the employee.

  5. Look for a line entry for the incorrect paycheck in the report. Double-click the entry to display the paycheck.
  6. Edit or delete the paycheck:
  • To edit the paycheck, change (if needed) the date or the amount directly on the check face. Click Paycheck Detail to change or delete amounts for individual payroll items (salary, taxes withheld, etc.). When you are through, click OK to record your changes.
  • To delete the paycheck, choose Delete Paycheck from the Edit menu.

If you don't know which employee the paycheck was created for:

  2. From the Reports menu, choose Payroll Reports and then Transactions by Payee.
  3. Select All in the Dates drop-down list, or if you know the approximate creation date of the check, enter a date range in the From and To fields.

  4. This report displays all payroll checks and liability checks for all employees and vendors.

  5. If you're not sure which paycheck is the incorrect one, double-click each paycheck to display it.
  6. When you've displayed the incorrect paycheck, edit or delete it as needed:
  • To edit the paycheck, change (if needed) the date or the amount directly on the check face. Click Paycheck Detail to change or delete amounts for individual payroll items (salary, taxes withheld, etc.). When you are through, click OK to record your changes.
  • To delete the paycheck, choose Delete Paycheck from the Edit menu.
